The True Cost of School Software: Why Annual Maintenance Contracts (AMCs) Are a 2005 Trap

How to work out what your school software actually costs over five years, why the AMC line is the one to interrogate, and what a no-AMC model changes.

Every year between January and March, school trust accounts departments receive an invoice that causes an audible sigh: The Annual Maintenance Contract (AMC).

We are not going to tell you what that invoice says, because we do not know and neither does anyone else writing about it — AMC terms in this market are negotiated privately and almost never published. What we can do is show you how to interrogate your own number, which is more useful than a range we invented.

Go and find the invoice. The justification on it will be some version of: "Software maintenance, bug fixes, server upkeep, and priority support."

Yet, if you ask your front-office clerk or fees accountant:

  • When was the last meaningful feature update? If nobody can name one from the last two years, you are paying for availability, not development.
  • What did the support line actually resolve this year? Count the tickets. If the honest answer is "we stopped calling", that is your answer.
  • What would happen if we did not renew? Ask directly. Whether the software keeps running, and whether you keep your data, is the single most important term in the contract and it is rarely on the invoice.
  • Did support pick up when fee day arrived and the system crashed? (Usually engaged or unavailable).

In 2026, the traditional school ERP AMC is not maintenance. It is an operational hostage fee.

Here is the financial breakdown of why school software is priced this way, what you are actually paying for, and why the model is collapsing.

1. The Anatomy of an AMC Invoice

To understand why you are paying this fee, you have to look at how legacy school software companies were founded between 2000 and 2012.

Traditional vendors (built on ASP.NET, PHP 5, or local SQL Server) sell software under a two-phase commercial model:

  1. Upfront Licence Fee: ₹1.5L to ₹5L to "install" the software on your server.
  2. Annual Recurring AMC: Fixed at 15% to 25% of the original licence fee, escalating by 8–10% every alternate year.

The Math Over 5 Years (For a 1,500-Student Campus)

Expense Head Year 1 Year 2 Year 3 Year 4 Year 5 Total
Initial Licence & Setup ₹2,50,000 ₹0 ₹0 ₹0 ₹0 ₹2,50,000
Annual AMC (18%) ₹0 ₹45,000 ₹49,500 ₹54,450 ₹59,895 ₹2,08,845
On-site Engineer Visits ₹15,000 ₹20,000 ₹25,000 ₹30,000 ₹35,000 ₹1,25,000
Custom Report Card Tweak ₹10,000 ₹12,000 ₹15,000 ₹18,000 ₹20,000 ₹75,000
Total Spent ₹2,75,000 ₹77,000 ₹89,500 ₹1,02,450 ₹1,14,895 ₹6,58,845

By Year 5, you have paid more than double the software’s purchase price, yet your staff is still printing receipts on dot-matrix layouts and struggling to reconcile online fee collections.

2. The 3 Hidden Costs Behind the AMC

The AMC invoice is only the visible part of the iceberg. Three secondary expenses compound the cost:

A. The Dedicated Local Server & IT Contractor

Because legacy ERPs run on an old Windows client-server model, your school must maintain a dedicated physical server in the accounts room.

  • Electricity and UPS upkeep: ₹18,000/year.
  • Local hardware vendor for quarterly backup dumps: ₹36,000/year.
  • Virus scares, ransom threats, and hard-drive replacement: Variable, high risk.

B. Customization Extortion

Need a customized CBSE Holistic Progress Card format? Want to split fee heads into Tuition, Composite, and Transport? Under traditional AMC contracts, almost every modification outside basic data entry is classified as "Custom Development", billed at ₹5,000 to ₹25,000 per request.

C. Data Lock-in and Exit Ransom

Try leaving your legacy vendor. When you ask for an SQL database dump or your students' complete 10-year ledger, you are met with:

  • "That format is proprietary."
  • "There is a data export handling charge of ₹40,000."
  • Or silence until renewal fees are paid.

3. Why Cloud ERPs Didn't Solve This (The "Per-Student" Trap)

When modern cloud school software arrived, they promised to eliminate the AMC. Instead, they replaced it with Per-Student Monthly Billing.

  • Instead of an AMC, you are billed ₹20 to ₹60 per student per month.
  • For 1,500 students: That equals ₹3,60,000 to ₹10,80,000 every single year.
  • Worse: if your school broadband drops on fee day, the web portal stops working completely.

Schools were forced to choose between outdated software with an AMC or bloated cloud software with an escalating per-student subscription.

4. The Modern Alternative: Zero AMC, Offline-First

School operations have two distinct requirements:

  1. Internal Administration: Student master records, fee registers, attendance, report cards, timetables, and library catalogues. This belongs inside your school premises. It runs on your computer, requires zero cloud servers, and incurs no continuous hosting costs.
  2. External Connectivity: Parent communication, online UPI fee payments, and live GPS bus tracking. This is cloud-enabled.

Because a local desktop system costs the vendor zero hosting and telecom fees, it should be free.

How B2skool Flips the Model

  • B2skool Desktop App: Completely free forever. No annual AMC. No per-student fee. Full offline capability on your office computer with an embedded SQLite database.
  • B2skool Cloud: Quoted transparently only when you turn on the parent app, payment gateway, and live transport tracking.

What to Do Before Signing Your Next AMC

Before paying your school's 2026–2027 maintenance invoice, audit your vendor with these 4 questions:

  1. Will you provide our complete historical fee ledgers and marks in open CSV/Excel format within 48 hours without an export fee?
  2. Does this AMC guarantee NEP 2020 Holistic Progress Card compliance without extra development charges?
  3. What is our uptime guarantee when the internet drops?
  4. Can we run the system locally if we terminate our subscription?

If their answers are hesitant, it's time to stop paying a 2005 tax on your school's operational budget.
