Why switch
The software is not the expensive part. The workarounds are.
The licence is the smallest line on the bill. The real cost is the clerk reconciling a bank statement by hand, the coordinator rebuilding report card formats every term, the teacher taking roll call for eleven minutes, and the parent who chose another school because your app had a 1.8-star rating.
Line by line
Traditional school ERPs, and this
Entab, Edunext, Fedena, the local vendor down the road — they are all built on the same decade-old assumptions. Here is where those assumptions cost you.
| Traditional school ERP | B2skool · SCHOOL OS | |
|---|---|---|
| Architecture | On-premise PHP or ASP.NET, client-server or a pseudo-cloud VM. High latency. | Cloud-native TypeScript and React, Postgres with row-level security, event queues. |
| What you pay | High upfront licence plus an annual maintenance contract. Product abandoned after purchase. | Free on your own computer, forever. Going online is a subscription quoted for your school, with managed onboarding and an SLA. |
| When the internet drops | Broken web pages — or a strictly offline desktop app that can never sync. | Hybrid: the desktop app keeps working on a local database and syncs the moment the line is back. |
| Design | Visual noise, 40+ dropdowns a screen, 90s blue-grey forms, unusable on a phone. | Consumer-grade design system: consistent type, keyboard shortcuts, works down to a 390px phone. |
| Fee collection | A payment gateway redirect. Your accountant matches the bank statement by hand. | Billing engine: WhatsApp reminders, UPI Autopay, instant split reconciliation, T+0 settlement. |
| Admissions | A static form exported to Excel. The admissions team calls blind. | Visual CRM: enquiry scoring, automated follow-up cadences, document verification, enrolment funnel. |
| Parent experience | Unreliable SMS broadcasts and a WebView wrapper app with a 1.8-star rating. | Native-speed app: timeline feed, live GPS transport, one-tap fees, direct teacher dialogue. |
| Security | Plaintext credentials, a shared admin password, wide open to ransomware. | Row-level security per school, role-scoped tokens, AES-256 at rest, TLS 1.3, DPDP Act 2023. |
| Certificates | Printed marksheets and transfer certificates anyone can forge in an afternoon. | Cryptographically signed, QR-verifiable credentials wired to the national registries. |
The invoice audit
Count the invoices on your desk. Eight of these twelve are free with us.
This is the stack a typical private school is running right now — a vendor, a licence or a credit pack for each line. Everything marked free runs on your own computer at no charge, with no student cap.
| What it is | How you pay for it today | With B2skool |
|---|---|---|
| School ERP licence + annual maintenance | Upfront licence, then AMC every year | Free, offline |
| Admission enquiry tracking | Paper register, then an Excel export | Free, offline |
| Fee receipts & day book | Separate accounting software or manual books | Free, offline |
| Attendance registers | Paper, or a biometric vendor with its own software | Free, offline |
| Report card formatting | Excel sheets rebuilt every term | Free, offline |
| Library issue / return / fines | A second standalone library package | Free, offline |
| Timetable building | A whiteboard and three days of a coordinator’s life | Free, offline |
| Local Windows server + backup drive | Hardware, electricity and an IT contractor | Free, offline |
| Parent mobile app | A separate app vendor, or nothing at all | Included in the cloud licence |
| Online fee collection & reconciliation | A gateway link, then manual bank matching | Included in the cloud licence |
| Bus GPS tracking | A tracking vendor with its own dashboard | Included in the cloud licence |
| Bulk SMS / WhatsApp for parents | Prepaid credit packs that expire | Included in the cloud licence |
One system, one login, one support number — and the four cloud lines arrive as part of a single subscription instead of four separate vendors.
Do the arithmetic
What is your current stack actually costing you?
Put in your own numbers. We do not guess at anyone else's prices — the rupee figures below are only ever what you type, and the hours come from our value model, line by line.
Software and licences
Add your numbers
Fill in what you pay now and this totals it up, then marks the part that is free with us.
Staff hours returned, per year

- Teachers — 5 hrs a week each, 40 weeks8,000 hrs

- Month-end closing — 7 days down to 2 hours648 hrs
Want the number for the cloud half?
We quote per school rather than publishing a rate card, because strength, boards and campuses all move the answer. Tell us those three things and it comes back the same working day.

Five people in your building, and what changes for each
Taken from our own value model. If any line here does not match your school, say so on the call — we would rather correct the claim than win on it.
Trustees & owners
Fee defaults, revenue leakage, staff turnover, no real view across branches.
A central financial cockpit, automated fee collection and a visual admissions funnel.
20% faster fee recovery, 15% more admissions conversion, no revenue leakage
Principals & academic heads
Three weeks every term lost to formatting report cards, and no way to see syllabus progress.
One-click board-compliant report cards, live academic analytics, teacher workload monitors.
120+ administrative hours saved every exam term
Teachers
45–60 minutes a day on roll call, paper diaries and parent calls on a personal number.
30-second exception attendance, a homework dispatcher, in-app parent messaging.
5 hours of teaching time returned every week
Accountants & office staff
Matching cash and cheques to bank statements by hand, and a physical queue on fee week.
Automatic reconciliation, digital receipts, export straight to Tally or QuickBooks.
Month-end closing from 7 days down to 2 hours
Parents
No idea how the day went, a queue to pay fees, and panic when the bus is late.
A modern feed, one-tap UPI payment, live bus tracking.
No queueing, and a reason to recommend your school
Switching
The reason schools stay on bad software is the move. So we do the move.
Nobody at your school has a spare fortnight to retype fifteen years of records, and that is exactly what your current vendor is counting on.
Step 1
You hand over the messy sheets
Whatever you have — exports from the old ERP, fifteen spreadsheets with different column names, a scanned admission register. We do not ask you to tidy it first.
Step 2
We clean, map and import
Students, parents, staff, classes, fee heads, concessions, historical ledgers and marks. Our onboarding team does the data entry, not your office.
Step 3
You check it against your own registers
We hand it back populated and you verify it before anyone goes live. Discrepancies get fixed by us, in writing, with the count reconciled.
Step 4
Then we train, in your building
A session for the office, a short one for teachers, and a number for the person who will be nervous on day one.
Schools decide between November and February and deploy for the April session. If you are inside that window, a migration started now lands comfortably before the session turns. If you are not, start free on the desktop app and bring the cloud on when it does.
Bring us your worst spreadsheet.
Honestly — the one with merged cells and three header rows. Seeing it is the fastest way for both of us to know how a migration would go, and you will have an answer on the same call.
